Understanding Course Scheduling Reports
This guide explains how to access and interpret the reporting and analytics features in Course Scheduling to make data-driven decisions about your programs.
Accessing Reports
Navigate to Course Scheduling → Reporting in the left navigation menu.
The Reporting dashboard provides three main report widgets:
- Enrollment Report
- Fill Rate Table
- Instructor Workload Table
Enrollment Report
What It Shows
Comprehensive view of student enrollments across your programs:
- Total Enrollments: Count of all active enrollments
- By Curriculum: Breakdown by program
- By Cohort: Numbers for each student group
- Active vs. Dropped: Status distribution
- Trends: Changes over time
How to Use It
Identify Popular Programs
- See which curriculums have highest enrollment
- Allocate resources accordingly
- Plan marketing for underperforming programs
Track Registration Progress
- Monitor enrollment numbers during registration periods
- Compare to previous terms
- Identify if targets are being met
Analyze Retention
- Review dropped enrollments
- Identify patterns in dropouts
- Investigate concerning trends
Key Metrics
Active Enrollments
- Students currently in cohorts
- Not including dropped students
- Real-time count
New Enrollments (This Month)
- Recent additions
- Trend indicator
- Compare to previous periods
Completion Rate
- Students who finish programs
- Important quality metric
- Varies by program type
Fill Rate Table
What It Shows
Capacity utilization across all your cohorts:
For each cohort:
- Cohort Name: Identification
- Curriculum: Which program
- Current Enrollment: Number of students
- Maximum Capacity: Seat limit
- Fill Rate: Percentage full
- Status Indicator: Color-coded health
Understanding Fill Rates
Calculation:
Fill Rate = (Current Enrollment / Maximum Capacity) × 100%
Color Coding:
- 🟢 Green (0-74%): Healthy capacity, room for growth
- 🟡 Yellow (75-89%): Filling up, monitor closely
- 🔴 Red (90-100%): Nearly or completely full
Strategic Insights
Under-filled Cohorts (Low fill rate):
- Consider marketing push
- Review program appeal
- Evaluate pricing
- Check if timing works for target audience
- Consider consolidating sections
Near-Full Cohorts (High fill rate):
- Plan for capacity increase
- Consider additional section
- Ensure resources can support
- Monitor for waitlist needs
Optimal Fill Rate:
- Aim for 80-90% capacity
- Accounts for some natural dropout
- Ensures viable class sizes
- Leaves room for late registrations
Using the Table
Sort and Filter:
- Sort by fill rate to find issues quickly
- Filter by curriculum to focus analysis
- Compare similar cohorts
Action Items:
- Create marketing campaigns for low fill rates
- Increase capacity for high-demand cohorts
- Close registration for full cohorts
- Plan new sections based on demand
Instructor Workload Table
What It Shows
Teaching assignments and hours for each instructor:
- Instructor Name: Who
- Total Sessions: Number of sessions assigned
- Total Hours: Calculated teaching time
- Courses Taught: Different subjects
- Current Assignments: Active courses
Calculating Workload
Total Sessions: Count of individual sessions assigned
Total Hours: Sum of all session durations (end time - start time)
Unique Courses: Number of different subjects
Identifying Issues
Overloaded Instructors:
- Very high session counts
- Many teaching hours
- Risk indicators:
- Burnout potential
- Quality concerns
- Insufficient prep time
- Health considerations
Underutilized Instructors:
- Few or no assignments
- Available capacity
- Consider:
- Additional assignments
- Different scheduling
- Training opportunities
- Role adjustment
Imbalanced Distribution:
- Some instructors heavily loaded
- Others with minimal work
- Suggests need for rebalancing
Best Practices for Workload
Healthy Workload Guidelines:
- Full-time: 20-25 teaching hours/week
- Part-time: Proportional to contract
- Include prep time in calculations (typically 1:1 ratio)
- Account for administrative duties
Monitoring Frequency:
- Review weekly during term
- Adjust before new term
- Check after schedule changes
- Annual comprehensive review

Using Reports for Decision Making
Scenario: Planning Next Term
1. Review Current Fill Rates
- Which cohorts were oversubscribed?
- Which had low enrollment?
- What patterns emerge?
2. Analyze Enrollment Trends
- Are enrollments growing?
- Seasonal patterns?
- Program preferences changing?
3. Assess Instructor Capacity
- Who has availability?
- Who needs rest?
- New instructor needs?
4. Plan Accordingly
- Create appropriate number of cohorts
- Set realistic capacity limits
- Schedule instructors fairly
- Adjust marketing strategies
Scenario: Mid-Term Assessment
1. Check Enrollment Health
- Any unexpected drops?
- Retention concerns?
- Need interventions?
2. Monitor Instructor Performance
- Workload still appropriate?
- Any burnout signs?
- Coverage for absences?
3. Review Upcoming Schedule
- Sessions properly staffed?
- Resources available?
- Communication sent?
Scenario: Program Evaluation
1. Historical Enrollment Data
